Facility and General Information

  1. Customers are to treat all area’s within Culcheth High School (CHS) with dignity and respect.
  2. Hirers are to set up and tidy away any apparatus used, including removal of all litter into the bins provided.
  3. Smoking of cigarettes and E-cigs are strictly prohibited on CHS grounds.
  4. No intoxicating substances, liquor or glass products are allowed onto the hired premises.
  5. Availability of the facility can be agreed verbally, but no bookings will be accepted, or held provisionally without a fully completed booking form. Once complete, confirmation and copy of the booking including terms and conditions will be made by email, from CHS Hire.
  6. All groups or individuals without an advanced, pre-agreed booking, must pay up front before hire.
  7. All advanced bookings will be invoiced at the start of the following month of hire. (E.g. Hire from 1st January to 31st January will be invoiced to the company on the first working week of February. Late payments beyond 21 days of invoice being issued will incur a 5% additional fee.
  8. The hirer shall not use the premises for any purpose other than described in the booking form.
  9. Any damage to the facility, fixtures and fittings by the hirer, their users or spectators must be reported immediately to the venue staff and will be the liability of the named hirer. Hirers could be invoiced for any damage costs.
  10. As part of our commitment to safeguarding children and vulnerable adults, photography, audio or video recording of any type is not allowed, without written prior consent.
  11. CHS Hire reserve the right to priorities Culcheth High School bookings over any CHS Hire booking to meet the needs of Culcheth High School as first priority.
  12. CHS has an equality and diversity policy that aims to eliminate all forms of discrimination across all of its operations and activities. The hirer must ensure that all activities carried out on the premise, including access to those activities do not discriminate against anyone on the grounds of race, gender, gender reassignment, sexual orientation, disability, age, religion and beliefs.

3G Artificial Pitch

  1. By entering into the football pitch hire agreement, the hirer/club acknowledges and understands the inherent risks associated with the use of sports facilities, including but not limited to the risk of accidents, injuries, and damage.
  2. It is the Customer’s responsibility to ensure that correct footwear is worn on the 3G pitch. Only clean football boots with moulded and/or rubber studs are permitted. No blades or metal studs are permitted. Any individual observed wearing dirty (muddy) or inappropriate footwear will not be permitted to use 3G pitch and may be asked to leave the premises.
  3. The use of incorrect / approved footwear could result in a fine of £10 for the observed booking.
  4. Weekly matches, training and/or general hire can be cancelled if the ground/weather conditions are considered unsuitable or dangerous or for other reasons. This decision will be finalised by CHS staff, and match day officials.
  5. Users are expected to adhere to the allocated booking time to ensure a fair distribution of facility access.
  6. Extensions or additional time must be arranged in advance through CHS hire.
  7. With the exception of service animals, pets are not allowed onto the 3G pitch.
  8. Users must adhere to the specified cancellation policies outlined in the terms and conditions below.

Insurance and liability

  1. The hirer undertakes at their own cost strictly to observe and perform i) All the relevant statutory provisions ii) The provisions of this agreement iii) All instructions given to the hirer by CHS hire in pursuance of the terms of this agreement.
  2. The hirer shall, during the period of hire be responsible for; i) The efficient supervision of the hired premises including the effective control of minors, and the orderly and safe clearance of the hired premises in case of an emergency. ii) Ensure any representatives having contact with minors and vulnerable adults have undertaken relevant CRB checks and also provide a list of these CRB checked leaders with their CRB numbers to CHS in advance of booking. iii) Ensuring all exits from the hired premises shall be kept unfastened and unobstructed and immediately available for exit during the whole time the hired premises is in use.
  3. The hirer must ensure they have their own insurance to cover the activity of their organisation, whilst on CHS premises.
  4. The Hirer acknowledges that the (name of organisation) has a duty under Section 26 of the Counter Terrorism and Security Act 2015 in the exercise of its functions to have ‘due regarded to the need to prevent people from drawn into terrorism’ (the ‘Prevent Duty’.) The Hirer shall ensure that it uses (venue name) in such a way as to satisfy the Prevent Duty.
  5. The Hirer must ensure that the venue is not used by any groups or speakers in support of any extremist ideology.

Cancellation and termination

  1. Cancellations inside of 7 days of booking will incur 50% of the total charge. A cancellation made within 24hours or no show, will incur the full charge of hire.
  2. Cancellations are to be made in writing via email, not verbally, or via text message to CHS staff.
  3. CHS Hire reserve the right by notice to the hirer to terminate any hiring without giving reason for such refusal or cancellation and CHS Hire shall not, as a result of the exercise of this right, incur any liability or breach of contract. Any fees paid in advance will be refunded.
  4. Full credit will be returned if the hirer adheres to the cancellation terms set out in this booking the form.

Intermittent bookings

  1. Separate booking forms must be completed and returned for each booking, clearly outlining your requirements for each session.
  2. CHS Hire reserve the right to alter charges, availability, terms and conditions, facilities or to cancel bookings giving due and appropriate notice.
